Privacy Policy & DPDP Compliance
Indian Digital Personal Data Protection (DPDP) Act 2023 & Institutional Privacy Framework
1. Data Controller vs Data Processor Roles
Under India's Digital Personal Data Protection (DPDP) Act 2023, subscribing educational institutions (schools, colleges, academies) operate as the sole Data Fiduciaries / Data Controllers retaining 100% legal ownership over student and institutional records.
Pragyan ERP operates strictly as a Data Processor, processing institutional data strictly under the direction, configuration, and authorization of the subscribing school administration.
2. Itemized Scope of Collected Data
Pragyan ERP collects and processes only the information explicitly entered by authorized school personnel to execute school administrative functions:
- Student & Parent Demographic Data: Student full name, roll number, class/section, parent guardian contact phone numbers (used for WhatsApp fee receipts and absentee SMS alerts), Aadhaar identity flags, and UDISE+ state codes.
- Financial & Fee Ledgers: Fee category structures, concession records, payment dates, payment modes, voucher numbers, and outstanding balance computations.
- Attendance & Staff Payroll Records: Daily student roll call attendance, staff biometric logs, salary structures, leave deductions, and debit voucher logs.
- Academic Examination Content: Textbook PDFs uploaded by teachers for generating CBSE/RBSE standard question papers and marking schemes.
3. AI Privacy & Zero AI Model Training Guarantee
Textbook chapter PDFs and question bank files passed to the AI Test Paper Generator are processed in-memory over secure 256-bit SSL connections.
- Uploaded chapter PDFs and exam papers are NEVER sold, shared, or indexed.
- School academic content is NEVER used to train public or commercial AI models.
- Extracted PDF text is held transiently in memory strictly during paper synthesis and discarded immediately thereafter.
4. Data Retention, Portability & Account Termination
Educational institutions retain the right to export 100% of their student rosters, marksheet ledgers, fee receipts, and staff payroll data in structured Excel (.xlsx) or CSV formats at any time without restriction.
Upon written notice of account closure or license non-renewal, schools can request a complete export of their tenant database followed by permanent deletion of all logical tenant records from Pragyan ERP cloud storage within 30 calendar days.
5. Grievance Redressal & Support Officer
In accordance with the Digital Personal Data Protection (DPDP) Act of India, any privacy inquiries, data access requests, or compliance grievances may be submitted directly to our Privacy Officer:
